JOB SUMMARY

This position is responsible for the adiministration of federal, state, local, employee and employer payroll taxes, including research, analysis, data set-up, reconciliations, and preperation of tax documents/returns in a timely and accurate manner.

MAJOR TASKS, RESPONSIBILITIES AND KEY ACCOUNTABILITIES

  • Prepares and reconciles tax returns and other payroll tax documents. Balances weekly, quarterly, and annual interface files used to report employee/employer wages and taxes to federal, state and local jurisdictions. Also balances W-2s and prepares W-2Cs as needed.

  • Reviews audit reports, conducts analysis, and handles inquiries related to taxable wages and taxes. Incumbent will be responsible for complete problem resolution including workflow analysis and implementing process changes to enusre proper controls are established and compliance with SOX requirements.
  • Conducts fact finding, as necessary, in support of tax and accounting-related projects to ensures that liabilities, expenses and payments for payroll taxes are properly posted to G/L, and new earnings codes are taxed/reported properly.
  • Works closely with tax filing vendor to ensure tasks are done in a timely and accurate manner: 1) taxes filed/remitted, 2) inquiries/audits from federal/state/local jurisdictions researched/resolved, 3) new/changing requirements communicated and implemented, 4) invoices balanced and paid/disputed

  • Typically reports to Payroll Supervisor
  • No direct responsibility for supervising others

ENVIRONMENTAL JOB REQUIREMENTS 

  • Located in a comfortable indoor area.
  • Any unpleasant conditions would be infrequent and not objectionable.

OVERVIEW

Responsible for directing the activities for all payroll and billing personnel. Developing and monitoring departmental task to ensure a fully efficient operation. •  Direct the efforts of the garnishment team to ensure garnishment orders are interpreted and processed accurately and timely
•  Manage special projects relating to regulatory changes, improving processes and/or reducing costs. Project involvement may include analyzing, facilitating, and testing process and system changes, and may include working with other internal departments and external consultants
•  Monitor performance of staff members. Delegate tasks and organize work schedules for direct reports.  Develop tax and accounting personnel to ensure efficient, effective, and quality processing of payroll tax information

The Payroll Specialist is responsible for the day to day operations of the Payroll department.  Customer service, both internal and external, daily department operations, and adherence to company policy and controls are the primary responsibilities of this position.

  • Prepare union fringe reports.
  • Assist in Year-End audit, as needed.
  • Assist in the external annual 401k audit, as needed.
  • Assist in preparing W-2s.
  • Assist in other areas of Accounting by preparing general ledger account reconciliations, reports and other analysis.
  • Perform other duties as assigned   

     

QUALIFICATIONS

  •  3+ years of experience processing full cycle, in-house payrolls with at least 500 employees
  • Must be proficient in Microsoft Office and 10-key data entry
