JOB SUMMARY

Responsible for directing the activities for all payroll and billing personnel.  Developing and monitoring departmental task to ensure a fully efficient operation.  Ensures critical deadlines are met in processing of all payrolls, invoices, and employee verifications. Job Duties and Responsibilities

  • Monitors processing of payroll and billing to ensure timeliness and notify Business Unit Presidents with any non-compliant branches.

  • Work closely with the IS Department to troubleshoot system issues.
  • Review weekly payroll and billing error reports. Work with staff and branches on best practices.  Provide training as necessary.
  • Participate in the development and implementation of payroll, billing and cash policies and procedures applicable to the department and branch operations.
  • Ensure client credit card charges are processed.
  • Develop internal controls to ensure company is within wage and hour compliance. Work with branches to address and correct any non-compliance.
  • Random checks of garnishment withholdings to ensure that state or federal laws are being followed when implementing wage assignments.
  • Work with Tax Department on W-2 related issues.
  • Review W-2 C’s to ensure corrections.
  • Monitor internal control and flow of information to other areas such as; G/L, 401 K, tax deductions and benefit deductions.
  • Promote communication between staff and branches.
  • Coach staff to improve communications with branch offices
  • Directly manage 3 supervisors and indirectly supervise other departmental staff

TITLE:              Payroll Accounting/Specialist

The Payroll/Accounting Specialist is responsible for the day to day operations of the Payroll department.  Customer service, both internal and external, daily department operations, and adherence to company policy and controls are the primary responsibilities of this position.  This position is also responsible for maintaining all payroll general ledger accounts by preparing account reconciliations, journal entries, and analytical reviews.
 
Specific duties to include:

  • Process employee payroll, enter time sheets into the system, submit taxes, make deposits for withholdings, transmit direct deposits, and distribute weekly reports.
  • Process employee requests such as W-2 changes, address updates, direct deposit requests, etc.
  • Process employment verifications, as requested.
  • Maintain payroll filing.

TITLE:              Payroll Manager

The Payroll Manager is responsible for overseeing and ensuring the efficient operation of the Company’s payroll functions including payroll tax, accounting and Kronos support.  This position will manage the preparation and distribution of the hourly and salaried, weekly, semi-monthly and special incentive payrolls, oversee the preparation of multi-state and federal payroll tax payments, supervise the preparation and distribution of W-2 forms and multi-state forms, and maintain employee records and information to ensure legal compliance. In addition, this position will provide analysis or work on projects assigned by their manager.

Position requirements:

5-10 years of progressively more complex roles in various accounting, payroll and HR operations with a knowledge of payroll practices and HRIS systems; Bachelor's degree in Accounting, or related field from accredited university; significant systems experience with Kronos and Infinium software packages and a proven track record of process improvement. The incumbent must have excellent written and verbal communication skills and the ability to interact with all employee levels across multiple business units and functional areas.

Responsibilities:

a) 50% – Task/Responsibility:  Monitor the day to day operations; provide guidance and oversight to ensure accurate and timely payroll preparation and distribution to employees and taxing authorities.
b) 30% – Task/Responsibility:  Evaluate business practices, policies and procedures; review issue logs and metric evaluation to help define and prioritize tasks.
